Managing a large international conference traditionally requires the collation and coordination of delegate information, RSVPs, housing and agenda preferences, updates, cancellations, contact dates, and more. The responses can arrive in a variety of formats from email to fax and will typically be collated in one or more spreadsheets. Managing this process is extremely time consuming and is fraught with risks such as the loss of data or multiple versions of the same lists. If online registration and/or an event micro-site are to be offered, they must be developed either in-house or through a web-agency at a high cost.

We suggested the use of Concep event to manage the registration and co-ordination of a rapidly approaching overseas event. Using Concep event, LexisNexis were able to quickly build a password-protected multi-page registration form, a pre-event micro-site and a set of custom reports in various formats, all of which were branded according to house-style. Invitations were sent by email and delegates were able to register for the event and provide extensive details relevant to their registration, including travel details and special requirements – all of which was consolidated automatically into a central database. Throughout the lead-up to the event, the micro-site served as a central point for attendees to find up-to-date agendas and other information on locations, the area, hotels and useful links.


Concep event was a great fit for the event, providing all the required functionality in a single application. In fact, LexisNexis transformed their pre-event micro-site into a password protected post-event community site for attendees, providing presentation notes and pictures for download. Following the success of the initial pilot event, LexisNexis USA have adopted Concep event to aid them in the planning of subsequent events.
